NOTICE OF ELECTIONS As prescribed within the UBP by-laws, an announcement of election is hereby being made.
Eligibility Requirements
A candidate for office must be at least 18 years of age and a member in good standing of the organization, and must maintain their active membership status throughout their term of office. A candidate must have been a member of the organization for a minimum of 365 days prior to the 1st of September of the election year. A candidate for
office must be a legal resident of Pennsylvania.Timeline
Each candidate must submit a letter of intent to the United Bowhunters of PA office. This letter must be received by May 16, 2008, and may be sent by email or U.S. Mail. A letter of intent is a letter explaining to the membership why the candidate wants to run for the office. The Election Committee will then assemble the letters of intent for publication in the newsletter, and will have a ballot printed in the September issue of Pennsylvania
Bowhunting. Ballots must be postmarked by September 30, 2008 to be counted. Letters of intent will be accepted for the positions of:• Board of Directors - Three positions will be open forA list of duties and responsibilities follows:
a two year term.
• Recording Secretary - two year term.
• Treasurer - two year term.Board of Directors
The Board of Directors shall be responsible for all matters including, but not limited to, general business conduct, operations, and policy of the organization. The Board of Directors is hereby empowered to delegate such authority and/or responsibility as it may deem necessary for the operation of the organization. Members of the Board will serve on committees as chairmen and/or members. The Board of Directors will maintain detailed job descriptions for each paid employee and function as the managerial body to said employees with the President being the point of contact.
Recording Secretary
Duties and responsibilities of the Secretary include, but are not limited to, the following:
A. Keep minutes of the proceedings of the Board of Directors and generalTreasurer
membership meetings.
B. Prepare typed copies of the minutes for distribution.
C. Prepare a summary of these minutes for publication
in the newsletter.
D. Attend all board meetings.
E. Prepare an annual report.
F. Chair and/or be a member of one or more committees.
G. Shall lend no documents or papers belonging to the
organization without permission from the President, Vice President, or
Board of Directors.
H. Upon leaving office shall transfer all books, papers,
etc. to his/her successor in a timely manner.Duties and responsibilities of the Treasurer include, but are not limited to, the following:
A. Direct and assist the Office Manager in all duties involving accounting.Please bear in mind that the UBP is comprised of volunteers and is governed by its Board of Directors. Any and all interested members are encouraged to run for office. Members who choose not to seek office are urged to vote for the candidates of their choice. The UBP's effectiveness is in direct proportion to the dedication and strength of our volunteers. As such, the election process serves as a critical tool and permits each member to exercise their individual responsibility to the future of our organization and bowhunting in Pennsylvania.
B. Make reports of the financial standing of the organization
at each regular meeting of the Board of Directors.
C. Provide an annual report.
D. Produce an annual budget for the organization.
E. Attend all board meetings.
F. Chair and/or be a member of one or more committees.
G. Shall release no financial information to outside parties
